Thank you for expressing interest in hosting tournaments for RoA! Hosting tournaments is a great way to contribute to the community, earn your Ladybug and/or Community Contributor badge, and work your way up to more authority. If you are interested in hosting any tournaments for RoA (Seasonals, Global Championships, live RoA Tours, Spotlight tours, etc.) please message me or a RoA Tournaments Moderator via Smogon PM or Discord DM if you're looking to get involved! We are always looking for new hosts.

Tournament Hosts will receive the @Tournament Host and/or the @RoA Tour Host roles in the RoA Discord Server. You will then gain access to #roa_tournaments where tournament hosts are assigned, #activity_channel for help with activity calls, and for the latter #roa-tour where hosts for RoA Tour are assigned. You will also be given project mods in whatever forum you are hosting your tour in to make things easier for you!

1. Create your Signups post

Here is an outline to use for your signups post. Parts that should be changed are in green. Replays will be required starting in the Top 16.

2. Create the Round 1 bracket


There is no Winner's / Loser's bracket split in Round 1, so you only need to create one bracket. Please use the Smogon Bracketmaker to do so. Only badged users can, so if you can't please send a RoA Tournaments Moderator a message and we'll take care of it. Simply click "Create new bracket" and post the link of your signups thread in "Add users from thread URL (optional)". Make sure the "Randomize signups beyond 5/8 * size" button is pressed and give your bracket a title (i.e. RBY Winter Seasonal #4 Round 1).

IMPORTANT: Double Elimination tournaments on Smogon no longer support Round Robin brackets (i.e. 3*2^N Size), but the Smogon Bracketmaker still automatically creates them. To get around this, you must manually separate the last x amount of pairings and give byes to them until you are at the correct number of pairings for the tournament (32 pairings for a 64-person tournament, 64 pairings for a 128-person tournament, etc.). For example, if you have 48 signups, you would create the bracket as usual but then separate the last 8 pairings and give byes to the 16 players. This would bring you to 32 pairings for a 64-person tournament. If you have any questions during this process, please reach out to emma or a RoA Tournaments Moderator and we will help you!

3. Handle Substitutes / Byes


You are almost guaranteed to have either Byes in your tournament or players ready to be subbed in if a player is inactive. If you have open Bye slots and a user posts "in as sub" in the Round 1 thread, use !pick on Pokemon Showdown! to randomly assign what Bye they are slotting into. Please post proof of this when you post the updated matchup in the thread and be sure to update the OP as well. An example of a user successfully subbing in is in the hide tag below.

You might run out of Byes or have none to begin with and yet still people who would like to join the tournament. If so, on Wednesday Night at the deadline time (i.e. if the deadline is Sunday at 10:00 PM GMT-5, you would do this on Wednesday at 10:00 PM GMT-5), do an activity sweep of all players in the tournament. If a player shows no sign on contact in the thread, on their wall or their opponent's wall, and have not reached out to you personally, they are liable to be substituted out. Tag all players in the thread so they know. Then, on Thursday Night, when you have collected all players that can be substituted (and removed those that have contacted since your activity sweep), use !pick on Pokemon Showdown! to randomly assign what users are subbing in for inactive players. If you have more inactive players than subs, some inactive players will stay. If you have more subs than inactive players, not all subs will get to play. Please post proof of this when you post the updated matchup in the thread and be sure to update the OP as well. Players are only to be subbed in during Round 1. Player can continue to sub in until Friday Night at the deadline time.

4. Update the OP when people report wins

Throughout the week, players will report in the thread if they have won. When they do, bold their name in the OP. Make sure you only bold their name, not their ID numbers. An example of a correctly formatted round is in the hide tag below. There is no need to include scores (i.e. 2-1), but feel free to if you would like.

5. Make Activity Decisions

Always always, not all games will be completed and you will have to determine if the matchup ends in an Activity Win for one player, an extension for both, or a coinflip. For official guideline on Activity Wins please see here. Extensions are given when both players have put effort into scheduling but couldn't find a time that works for them. Extensions always last until Wednesday at the deadline time. Often, players will ask for these which makes it easier. Coinflips happen when both players put zero or minimal effort into scheduling. Please use !pick on Pokemon Showdown! to randomly select who wins and post proof in your activity decisions post. If you ever need help with an activity call, please ask in the #activity_channel in the RoA Discord. An example of a successful activity post is shown below. You do not have to include reasonings for your calls, but if a player challenges your ruling you must be prepared to explain why and show evidence. If you are making an activity call about your own matchup, please get it confirmed by a RoA Tournament Moderator or a Tournament Director.



6. Post the next round

For even rounds you will have two brackets (Winner's and Loser's) while for odd rounds you will have one bracket (Loser's) starting in Round 2. The players in the winner's bracket come from the winners from the last winner's bracket, while the players in the loser's bracket come from the winners of the loser's bracket and the losers of the winner's bracket for odd and Loser's only rounds but just from the winners of the loser's bracket for even and normal rounds. Use this tool to obtain the winners and losers from the previous bracket and then create your own or two new brackets using the Smogon Bracketmaker. Please keep in mind that this tool does not give you players from uncompleted matches! For example, if you had 24 pairings and gave 3 extensions (with every other game being completed), the tool would only produce 21 names. It is then on you to manually find the player on the left of the matchup in extended matchups and put them into the Smogon Bracketmaker. Once your bracket is complete, then find said player and replace them with Winner / Loser of (extended matchup). An example of this is included below. When an extended matchup finishes, go back to the previous round and bold the winner's name. Also adjust the OP so it just says "Player against Player" and not "Winner / Loser of (extended matchup) against Player".

7. Repeat steps 4-6 until the tournament is concluded.

1. Create your Signups post

2. Create the Round 1 Phase 1 bracket

You need to create two separate brackets
. Please use the Smogon Bracketmaker to do so. Only badged users can, so if you can't please send a RoA Tournaments Moderator a message and we'll take care of it.

Simply click "Create new bracket" and post the link of your signups thread in "Add users from thread URL (optional)". Make sure the "Randomize signups beyond 5/8 * size" button is pressed and give your bracket a title (i.e. RBY Global Championships 2022 Round 1 Bracket 1). After you make the first bracket, take the participants from the first bracket and make sure they are the players going into the second bracket. If your bracket has byes, you can just do the exact same process. If your bracket has subs, use the Jetou Playerlist Compatibilizer Tool on your first bracket to get the the list of players in the first bracket, put the list of players into the "Additional users to add" section (do not put anything in "Add users from this thread URL (optional)"), and then create your second bracket. Global Championships have 2 weeks for Round 1 Phase 1, 1 week for everything else.

The players in bracket one should be the same exact players in bracket two, always.
If a pairing is the same in both brackets (i.e. Player A plays Player B in both Bracket 1 and Bracket 2) that is okay.

2. Handle Substitutes / Byes

For example, if "emma" is inactive and "Riley" is subbing in over them, Riley would be given emma's opponents in both bracket one and bracket two. Players are only to be subbed in during Round 1. Player can continue to sub in until Wednesday Night on the second week at the deadline time.

If a player goes 0-1 in one bracket and wants to drop, don't do anything until the activity sweep on Friday night and subbing inactive players out on Sunday night occurs. Hopefully, all players that signed up as substitutes can sub in for someone who is 0-0 and therefore not at a disadvantage If you have subbed out all inactive 0-0s and there are still people who would like to be subbed in, wait until Wednesday Night on the second week to see if there are any more 0-0s that need to be subbed out. If on Wednesday night there are still people who want to be subbed in and there are no 0-0 players to sub out anymore, you can sub players in over someone who went 0-1 and dropped.

3. Update the OP when people report wins

Players that go 2-0 in Phase 1 move onto the next round. Players that go 0-2 in Phase 1 are eliminated. Players that go 1-1 play in "Phase 2" against another 1-1 player and the winner moves on while the loser is eliminated. Use this tool to obtain the winners and losers from the previous bracket. List out all players that went 2-0, 1-1, and 0-2, and use the 1-1 players to create your Phase 2 bracket using the Smogon Bracketmaker. Please keep in mind that this tool does not give you players from uncompleted matches! For example, if you had 24 pairings and gave 3 extensions (with every other game being completed), the tool would only produce 21 names. It is then on you to manually find the player on the left of the matchup in extended matchups and put them into the Smogon Bracketmaker. Once your bracket is complete, then find said player and replace them with Winner / Loser of (extended matchup). An example of this is included below. When an extended matchup finishes, go back to the previous round and bold the winner's name. Also adjust the OP so it just says "Player against Player" and not "Winner / Loser of (extended matchup) against Player". Phase 2 deadlines are always one week.

An issue specifically to Global Championships that you might run into is when you are giving an extension between players who are 1-0 and 0-1, since if the 1-0 player wins neither player will be in Phase 2, while if the 1-0 player loses both will be in Phase 2. What you have to do is make pairings assuming the 1-0 player loses (and both players are in Phase 2), and if they win (so neither player is in Phase 2) match the two players who were initially paired with the 1-0 and 0-1 players.

After Phase 2 and before you post Phase 1 of the next round, you will once again have to make activity decisions. Please see section 4 for more details.

Ruins of Alph Classic Cup Hosting Guide

1. Create your signups thread.
Here is an example OP for a Classic Cup, with sections that need to be changed highlighted in green*, including clauses that change between generations. Replays for Cups should be required from the Top Sixteen onwards.

2. Generate the bracket.
Use the Smogon Bracketmaker to generate your bracket and post the round. The deadline for each round should be one week. Make sure to update your OP as frequently as possible. Cups are single elimination tours, so once player loses, they are out of the tournament.

3. Substitutes, Byes, and Activity Calls.
In Round One only, players may sign up as substitutes. If you have byes in your bracket, you should prioritize substituting players into those slots first. Use !pick on Pokemon Showdown to randomly assign substitutes to byes. Additionally, if a player is inactive (i.e. signed up for the tournament and hasn't logged in since), you can substitute into their slot if their are no bye slots remaining. This should be done no later than Wednesday or Thursday.

When making activity calls for a round, consult the activity decision guidelines here. Extensions can also be granted in cases where both players put effort into scheduling but were unable to make a time work. All activity decisions should be listed at the end of the round, before the next round is posted (example).

4. Repeat steps two and three until the tournament concludes.

Ruins of Alph Majors Hosting Guide

1. Create your signups post.
Unlike other individual tournaments, the host of a Majors tournament should not enter it due to the human elements involved in choosing Pool Leaders and randomizing pools outside of the bracketmaker.

2. Generate pools.
After signups have concluded, it's time to generate your pools. Every pool will have five players in it. Each pool will have a Pool Leader, a credible or well-known player within the tier that is selected by the host. The remaining players should be randomly sorted into pools.

When generating your pools, it is important to consider how many total advancing players you will have - you don't want to end up with a bad bracket number like 38 going into the single elimination stage. Define your number of pools vs your number of substitutes in Stage One based on the bracket for Stage Two.

3. Stage One: The Pools Stage

Once pools are generated, all of the members within a pool will face each other in a best-of-one round robin format, with the top two players from each pool advancing to the next stage. This stage should last two weeks to give time for all of the matches to take place. Keep track of the win-loss record of each player in the OP, tables work well for this. Replays should be required for all stages including this one. When doing substitutes for Stage One, do not substitute out a player who has already played a game. If a player has already played a game and drops out, their remaining games will be treated as forfeit losses.

4. Pool Stage Tiebreakers
Because only two of five players can advance, a tiebreaker may be needed if players have identical win-loss records. If three players are tied for first or second, have them face off among themselves in a round robin, with the top one or two, respectively, advancing to the next stage. If two players are tied for second, have them face each other and advance the winner to the next stage. If two players are tied for first, no tiebreaker is necessary.

5. Stage Two: Single Elimination Bracket
The players who advanced from Stage One will now face off in a single elimination bracket, generated with the Smogon Bracketmaker. From now on, sets should be best-of-three, and the deadlines for this stage should only be one week long.

6. Repeat Step Five until the tour finishes.

Ruins of Alph Team Tour Hosting Guide

1. Pre-Auction
  • Manager signup thread: This is where those who would like to manage a team for your tour will sign up. The specific needs of this thread's OP will differ from tour to tour, but should at a minimum include:
    • The format of the tour, including the number of teams, number of slots per team, and the tiers to be played.
    • Whether or not an assistant manager is required.
    • Whether or not managers are allowed to play.
    • Any retention rules.
    • The signup format.
      • Code:

    • The signup deadline.
  • Choosing managers: Once the signup deadline has passed, you and your cohosts should finalize the set of managers for your tour. Some factors to consider when choosing managers include prior manager experience and community involvement. Once you have chosen your pairs, they should be announced in the manager thread and the thread locked.
  • Player signup thread: Where all players who want to be part of the tour will sign up. Like the manager thread, the specific needs will vary slightly from tour to tour, but the OP should at least include:
    • The format of the tour, including managers and teams, number of slots per team, and tiers to be played, as well as the minimum number of players a team will buy (usually the number of slots plus two substitutes).
    • Any tier lock rules that are in effect.
    • Player signup format.
      • Code:
        Username:
        Timezone:
        Tiers played:
        Forseen inactivity:
    • A rough signup deadline (usually 24 hours before the auction).
  • Announcements and Administrative Decisions thread: This is where important information will be communicated during all stages of the tour. At the very latest, it should be posted alongside the player signup thread.
    • The OP of this thread should include:
      • The host team.
      • General tournament information (changes that need to be made per tour highlighted in green).
      • The projected schedule for the tour, from manager signups to finals.
      • The teams and managers.
      • The deadline for retentions and manager self-purchases (usually the same as the player signup deadline).
      • General reminders, such as a restatement of the tier lock rules, tour format, and replay requirement if there is one.
    • The next thing that should be posted in this thread is the retention pools and prices for each team and player. A player is eligible to be retained if they played in the previous year's edition of the tour and signed up again for the current edition.
        • If a team is returning from the previous year under the same name, their retain pool will be their roster from the previous year.
        • If a manager or manager duo is returning from the previous year under a different team name, their retain pool will be their roster from the previous year.
        • If a manager is a player from the previous year, their retain pool will be the roster of the team they played for.
        • All other retain pools should be randomized among teams.

        • If a player was bought for 6.5k or less the previous year, their retain price becomes 10k.
        • If a player was bought for 7k or more, their retain price is equal to their price from the previous year plus 3k for every year they've been retained.
          • A player who was bought for 8k the previous year will be retained for 8k + 3k = 11k.
          • A player who was bought for 12k two editions ago and was retained in the previous year will be retained for 12k + 3k + 6k = 21k.

    • All retentions and manager self-purchases should be announced in this thread leading up to the auction.
2. The Auction
  • Deciding an auction date and time: The auction should take place at a date and time where at least one host and one manager from each team can be present. When2meet is a good tool for syncing up availabilities. Once the date and time are decided, post it in the Admin thread, the player signup thread with a reminder that signups will close before the auction, and edit it into the title of the player signup thread.
  • The actual auction:
    • Auctions typically take place in a private room or subroom on Pokemon Showdown. If you're unable to create one of these for yourself, reach out to one of the Ruins of Alph Room Owners or a Showdown Administrator for assistance.
    • Scrappie is the bot most often used for auctions, so it's a good idea to familiarize yourself with the commands needed to setup and run the auction before the real deal. Additionally, keep in mind that only Showdown Global Staff can invite Scrappie to a new room.
    • Player lists are added to the auction via Pastebin. While there are various ways to do this automatically, sometimes a situation may arise where it needs to be done manually.
        • The most basic auction Pastebin will simply be a list of player names. This will be a heading that reads "Smogon Name" and then a list of forum names, each on a new line.
        • Optionally, you can add all of the tiers that each player signed up for to be displayed during the auction. This is done by first creating the headers for Smogon Name and then each of the tiers in the tour, separated by tabs. Next, the player is entered on a new line and each tier marked at the corresponding tab placement with a "y".
          • For example, if the tiers are RBY OU, GSC OU, ADV OU, DPP OU, and BW OU, and a player signed up for RBY, GSC, and BW, then their line would be formatted as their forum name, a tab, a "y", a tab, a "y", two empty tabs to represent the two tiers they aren't playing, and another "y".
          • The Pastebin won't be easily readable for humans if done right, as rarely will the "y"s line up with the tier headers neatly.

    • Once all of the setup is done, it's time for the auction to run. This is the easiest part, as all you have to do is monitor the auction for any potential mistakes that need to be fixed on the fly, such as a misspelled player name in your Pastebin or a team accidentally bidding 40k instead of 4k.
  • After the auction: Once the auction concludes, the results should be posted in the Admin thread, including the auction output, the overall pricelist, and the pricelist per team. Additionally, the schedule for the round robin portion of the tour should be posted alongside the auction results.
    • To easily generate a round robin schedule, pair up teams for week one first. Then, for the following weeks, rotate every team except the one in the top left slot to the right one slot.
3. The Tour
  • Lineups: Every manager should send you a lineup before the week's deadline. If your week ends at 11:59 PM GMT -4, that's when managers should submit lineups by. If a team fails to submit a lineup before you post the next week, reuse their lineup from the current one. Make sure to specify what order you want the lineups submitted in (i.e. RBY-BW vs BW-RBY). It also helps to tag managers at least once on Sunday to remind them that lineups are due.
  • Posting the week: Once you have all the lineups and all games from the previous week have been played, it's time to post the week. All week thread OPs should include:
    • A link to the tour's spreadsheet and replay and usage thread.
    • The matchups.
    • Any relevant reminders for players, such as if replays are required.
    • The deadline for games to be posted.
  • During the week: There isn't much to do during the week apart from making activity calls and handling substitutions. Make sure to check back and bold the names of players who win and update the scores of teams so that teams and spectators can easily follow the standings.
  • Repeat until the round robin phase is over.
  • Semifinals: Once the round robin phase of the tour is over, the top three (for six-team tours) or top four (for eight-team tours) teams will advance to the semifinals. If it is an eight-team tour, the first and fourth seed teams and the second and third seed teams will face off. If it is a six-team tour, the second and third seed teams will face off while the first seed team will automatically advance to finals.
    • For every week a team wins, they are given two points. For every week a team ties, they are given one point. For every week a team loses, they get zero points. Seeds are ordered from highest to lowest by the amount of points.
      • If two or more teams have the same number of points, their seed is determined by their win differential, the number of individual wins minus the number of individual losses, with a higher differential meaning a higher seed.
      • If two teams are still tied after win differential:
        • If the tie is purely for seeding (i.e. both teams advance to semifinals no matter what, their head-to-head results will be used to determine their seed.
        • If the tie is for playoffs qualification (i.e. fourth seed vs fifth seed), the teams will play a head-to-head tiebreaker to determine who will advance.

  • Finals: The two remaining teams will face off in the last round of the tour. Like in semifinals, if this week ultimately ends in a tie, the two teams will face of in a three-tier head-to-head tiebreaker to determine the winner of the tour. Once a winner is determined, edit the title of the finals thread to reflect the winning team.
